Privacy Notice
Your privacy, plainly
Prepared Presence exists for honest reflection before high-stakes conversations. That only works if you trust how your words are held. This notice explains, without jargon, what is collected, where it goes, and how long it stays.

Who is responsible
Prepared Presence is operated by Matthew Gilsenan, based in Basel, Switzerland. For any privacy question, or to ask that your data be deleted, write to privacy@mattgilsenan.com.
What we collect
- Your first name. The free profile asks for a first name only — no surname and no account.
- Your written answers to the questionnaire for the tier you choose.
- An optional voice note, only if you choose to record one. The form works fully without it.
- Your email, only if you provide it — optional on the free profile (to receive a copy of your read), required on the paid tiers so we can deliver your evaluation or arrange your session.
- Whether the conversation concerns an individual or a group — to tailor the questions.
We do not place your name or email in web addresses, and we collect no more than is needed for the work.
Anonymity on the free profile
The free profile is designed to be answerable anonymously: first name only, no email required, and your read is shown on screen the moment you finish. Technical anonymity necessarily ends at the first payment, where our payment processor collects an email and the cardholder's name — but a first-name basis as a working relationship can be kept throughout.
Where your data is held, and who processes it
Your responses and any audio are stored in Matthew Gilsenan's own Google Workspace Business — a spreadsheet and an access-restricted Drive folder with the highest available privacy restrictions, accessible only by him and the service account that writes to them. To run the service, a small number of trusted providers process data on our behalf:
- Google (Workspace — Sheets & Drive). Stores your answers and any voice note.
- Deepgram. Transcribes your voice note to text, if you record one.
- Anthropic (Claude). Generates the on-screen read on the free tier only, from your written answers and any transcript. The paid tiers are delivered by AI assistance and human review, and do not use this step.
- Stripe. Processes payment on the paid tiers. We do not see or store your full card details.
- Vercel. Runs the website and processes requests in transit; it is not a long-term store of your responses.
Some of these providers are based outside Switzerland and the EU (including in the United States). Where that is the case, transfers are made under appropriate safeguards (such as specific Data Privacy Agreements). We do not sell your data, and we do not use it for advertising, except you can opt in to receive updates.
How your information is used
- To generate your on-screen read (free tier).
- To prepare and deliver a coach's personalised feedback ($149) or to prepare for and deliver your live coaching session ($499).
- To email you a copy of your read or to contact you about your chosen tier, where you have given an email.
- The voice note, where provided, is kept so the coach can listen directly to your voice; a transcript is made to complete the intake. The voice note is discarded in the free version.
Legal basis
We process your information only for the purposes described in this notice and on the legal basis that applies to each purpose under Swiss and, where relevant, EU law. Where we rely on your consent, you may withdraw it at any time, and where we process data to deliver a service you requested, we do so only to provide that service.
AI and human review
Some parts of the service use AI assistance to help prepare a draft or support the workflow, but in all cases except the free tier, a coach remains responsible for the final personalised feedback or session delivery. We do not allow our data to be used to train models, whether by us or by any provider we use. We also do not use your data for advertising, and we limit use of AI tools to the minimum needed to run the service.
Children and eligibility
This service is intended for adults and is not designed for children. If we learn that we have collected personal data from a child without appropriate consent, we will take reasonable steps to delete it.
International transfers
Where your data is transferred outside Switzerland or the EU, we use safeguards intended to protect it, such as contractual protections and access controls. These transfers are made only where needed to run the service or process your request.
How long we keep it
Audio and responses are retained only through the engagement and are deletable on request. We aim to remove voice recordings and responses within 12 months of your last contact unless you ask us to keep them. Different types of records may be kept for different periods where needed for service delivery, legal compliance, accounting, or resolving a support issue.
Cookies and analytics
We use only the cookies and technical tools needed to operate the website and deliver the service, unless we clearly tell you otherwise. If we add analytics or other non-essential tracking, we will explain that here.
Your rights
Subject to Swiss (FADP) and, where applicable, EU (GDPR) law, you may ask to access, correct, or delete your data, or to limit how it is used. To exercise any of these, email privacy@mattgilsenan.com. You may also contact the Swiss Federal Data Protection and Information Commissioner (FDPIC) at Feldeggweg 1, 3003 Bern, Switzerland.
Security
Data is transmitted over encrypted connections (HTTPS) and stored in access-restricted locations. No method of transmission or storage is perfectly secure, but we take reasonable measures to protect your information and to limit who can see it.
Changes to this notice
We may update this notice as the service evolves. The date at the top shows when it was last revised.
